BeyondNow exists to help you preserve stories, voice, and identity. We take privacy seriously and design our services to protect the personal information and media you choose to store with us.

This Privacy Policy explains how we collect, use, share, retain, and protect information when you use BeyondNow.

1) Information we collect

A. Information you provide

  • Account information: name, email, password, account settings.
  • Profile and legacy preferences: prompts answered, preferences, legacy instructions, designated contacts/recipients (if you choose).
  • Content you upload or record: video, audio, photos, text, documents, reflections, messages to loved ones, and associated metadata (e.g., titles, timestamps).
  • Communications: messages you send to us (support requests, emails, forms).

B. Information collected automatically

  • Device and usage data: IP address, device type, browser, pages/screens viewed, actions taken, error logs, and performance data.
  • Cookies and similar technologies: used for authentication, security, and basic analytics (see “Cookies” below).

C. Payments

If you purchase a membership or services, payments are processed by third‑party payment providers. We receive limited payment information (e.g., billing status and transaction IDs) but do not store full card numbers.

2) How we use your information

We use information to:

  • Provide and operate BeyondNow (create accounts, store content, deliver features).
  • Secure the platform (fraud prevention, abuse detection, authentication).
  • Improve reliability and experience (debugging, performance, analytics).
  • Communicate with you (service updates, support, billing, policy updates).
  • Enforce our Terms and protect rights and safety.

AI / processing features

If you enable features like transcription, summaries, search, or organization, we may process your content (including audio/video) to generate those outputs. This processing is used to provide product functionality (e.g., “AI story summaries”).

We do not sell your content. Your vault is private by default, and we do not provide advertisers access to your private vault.

3) Consent and your choices (Canada / PIPEDA)

We generally collect, use, and disclose personal information with your knowledge and consent, except where permitted or required by law.

You can typically control consent through:

  • Your account settings (sharing, legacy access, AI features)
  • What you choose to upload
  • What you choose to share and with whom

Some information is necessary to provide the Service (for example, account and security functionality). If you withdraw consent for essential processing, some features may not work or we may be unable to provide the Service.

4) How we share information

We share information only as needed to run BeyondNow, including:

  • Service providers (cloud storage, hosting, analytics, email delivery, customer support tools) under agreements requiring confidentiality and appropriate safeguards.
  • Payment processors for billing.
  • Legal and safety reasons if required by law, court order, or to protect rights, safety, and prevent misuse.
  • Business changes (merger, acquisition, financing, sale of assets). If this happens, we require continued protection of your information.

Your vault content is not shared publicly by default. Sharing occurs only based on your settings and actions.

5) Your sharing controls and legacy access

BeyondNow includes legacy and sharing controls that may allow you to:

  • Invite family or trusted contacts to view specific content you choose to share.
  • Configure access rules (e.g., what is shared, with whom, and when).
  • Prepare “family access continuity” as part of guided services.

If you grant access to someone, they may be able to view or download content you’ve shared with them. Please choose trusted individuals.

6) Data retention and deletion (aligned with Terms + Preservation)

  • We keep your account information and vault content as long as your account is active, and as necessary to provide the Service.
  • If you delete content or your account, we will delete or de‑identify information in accordance with our systems and legal requirements (some limited logs may persist for security and compliance).
  • If you purchase a Legacy Preservation Plan, retention and long‑term maintenance may extend according to the Preservation Plan terms and addendum presented at purchase. The Preservation Plan is a one‑time purchase and may include commitments such as long-term retention, redundancy, and format migration over the selected term.

7) Security

We use administrative, technical, and organizational safeguards designed to protect your information (e.g., access controls, encryption in transit, monitoring, and least‑privilege access). No system is 100% secure, but protecting your vault is a core priority and we continuously improve our safeguards.

8) International data transfers (including cross‑border processing)

Your information may be processed in countries other than where you live (for example, where our service providers operate). When we transfer or process information outside Canada, it may be subject to the laws of those jurisdictions.

We take reasonable steps to ensure appropriate safeguards are in place with service providers (contractual and technical) to protect personal information.

9) Your rights and access requests (Canada)

Depending on where you live (including under PIPEDA in Canada), you may have rights to:

  • Request access to the personal information we hold about you
  • Request correction of inaccuracies
  • Request information about how your information has been used or disclosed
  • Withdraw consent (where applicable)

Questions or concerns (Canada)

If you have a privacy concern, you can contact us first and we’ll work to resolve it. You may also have the right to contact the Office of the Privacy Commissioner of Canada.

10) Children’s privacy

BeyondNow is not intended for children under 13 (or the minimum age required in your region). We do not knowingly collect personal information from children. If you believe a child has provided information, contact us and we will address it.

11) Cookies

We use cookies and similar technologies for:

  • Authentication and session security
  • Essential site functionality
  • Basic measurement and performance analytics

You can control cookies through your browser settings, but some features may not work properly if cookies are disabled.

12) Changes to this policy

We may update this Privacy Policy from time to time. If we make material changes, we’ll post an updated version and change the “Effective date.” For major changes, we may also provide an in‑product notice or email.
